  PVI RUNFEST 5K

Volunteer Descriptions

RACE DAY PACKET PICKUP
  • Begins at 6:30 a.m. 
  • At least four volunteers are needed to man this station.
  • Race packets will be ready and alphabetical by the runner’s last name.
  • The packets are usually split A to L and M to Z so that two lines can be maintained to speed the process along. 
  • The runner has pre registered and will identify themselves by their last name.  Once we know who they are they receive their packet. 
  • Any packets that are not picked up are returned to the PVI Race Committee.
FLAGS AND CONES
  • Flags and cones should be started and put in place at 6:30 a.m. 
  • At least four volunteers are needed to perform this function.
  • Volunteers will work with Finish Line Service Provider to accomplish this task.
  • The cones and the flags will be placed in two parallel lines approximately 20 feet apart from each other to from a chute.  (Per Finish Line Service)
  • A third line of cones will be placed in the middle of the chute dividing it in half (Per Finish Line Service).
  • This is done so that runners can be separated by male and female making the scoring process easier.  This
  • The cones and flags will be placed from the entrance of the PVI Parking Lot to the finish line forming a chute for the runners to following to the finish line.
PARKING
  • Parking cars begins at 6:30 a.m. 
  • At least five volunteers are needed to man the parking lot.
  • As cars approach PVI Parking Lot use hand signals to direct cars to parking at front part of parking lot on the west side of the school.
  • As the parking lot begins to fill up begin parking cars in the main part of the parking lot.
  • When parking lot fills up to capacity tell the overflow to park in the parking lot at Party City.
  • The PVI Parking Lot should be shut down at 7:40 a.m.  At that time do not allow any cars to leave or enter the parking lot until 9:00 a.m. 
  • We also need to block the exit on the east side of the school beside the field from cars entering or exiting the PVI Parking Lot.
  • This will ensure the safety of all participants in the race.
RACE DAY BALLOON SETUP
  • Begins at 6:00 a.m. 
  • At least six volunteers are needed to man this station.
  • Volunteers will inflate (Vegas Gold and Black) balloons with helium and create a balloon arch that will stretch the width of Panther Way. 
  • The balloon arch should contain at least 400 balloons to make the arch. 
  • The arch is weighed down with cement blocks to prevent the arch from floating away.
  • After the last runners leave the starting line the balloon arch is moved from the starting line to the finish line. 
  • At the conclusion of the race the balloon arch is either taken to the football field if there is a make up game or destroyed. 
  • Do not let the balloon arch go into the air since it will be tracked by radar and could be identified as a hostile aircraft.
RACE DAY FOOD SET UP AND CLEAN UP
  • Begins at 6:30 a.m. 
  • At least six volunteers are needed to man this station.
  • The volunteers will prepare the food such as putting bananas out (do not peel).  Peel oranges and split into sections.  Cut bagels into halves.  Set up donuts, coffee, water, juice etc.
  • Place all trash into trash cans pick up all litter.  Any food that remains the committee tries to give away.
WATER STOP
  • The water stop is located on Keith Ave. south of the gate leading from PVI Parking Lot onto Cedar St. 
  • At least six volunteers are needed to man the water stop.
  • Two tables will be rolled out to the water stop location early on race day 6:00 a.m.  The water, cups, broom and garbage bags will be brought out to the stop at 7:00 a.m. by volunteers.
  • At least 400 Hundred cups should be filled with water by 7:45 a.m. 
  • Runners will go by the water stop twice.  Hand out the water cups to runners if they request water.
  • Continue to fill water cups as the race progresses.  More water will be used if it’s a warm day.
  • At the end of the race clean up water stop.  Sweep up the cups that runners have thrown on the ground, wheel in tables and bring all remaining equipment to (including extra water and cups) the finish area. 
MILE MARKER ONE
  • Mile 1: Located south of Keith Ave. Park almost at Main St. (Rt. 236)
  • Stand on the south side of Panther Way at the start of the race.
  • Start stop watch at the sound of the gun that starts the race.
  • As quickly at you can (run, jog, take a bus) get to the Mile Marker 1 location.
  • Yell out times as runners go by the 1 mile marker on the first lap.
MILE MARKER TWO
  • Mile 2: Located on McLean Ave almost to Lee Highway (Rt. 29)
  • Stand on the south side of Panther Way at the start of the race.
  • Start stop watch at the sound of the gun that starts the race.
  • As quickly at you can (run, jog, walk fast) get to the Mile Marker 2 location.
  • Yell out times as runners go by the 2 mile marker on the second lap.
  • On the first lap do not yell out times this would confuse the runners, also place mile marker on the ground on the first lap so runners will not be confused.
MILE MARKER THREE
  • Mile 3: Located at the intersection of Cedar St. and Oak St. 
  • Stand on the south side of Panther Way at the start of the race.
  • Start stop watch at the sound of the gun that starts the race.
  • As quickly at you can (walk) get to the Mile Marker 3 location.
  • Yell out times as runners go by the 3 mile marker on the second lap.
FINISH LINE
  • The finish line will be set help by no later than 7:30 a.m. 
  • At least ten volunteers are needed to perform this function.
  • The volunteers will work along with the Finish Line Service to set up the finish line.
  • After the race starts the volunteers will be needed in the following positions. 
  • One volunteer is needed at the beginning of the chute to tell the runners to go left of right depending in gender. (This is up to the Finish Line Service)
  • Four volunteers (two on each side) are needed to help the runners moving through the chutes.  This is done so that we don’t have backups in the chutes.
  • Four volunteers are needed to help the Finish Line Service remove tags from the runner’s numbers for scoring.
  • One volunteer is needed as a go for or runner to get the results to scoring.
COURSE MARSHALLS JOB DESCRIPTIONS

POSTIONS NO. 1 & 18: Two people (at least one adult) are need at the intersections of Oak St. and Cedar St.  Their duties will include the following:

  • Help to direct traffic before, during and after the race.
  • Help to direct runners on the way out on the course and direct runners in to the finish line. 

POSTIONS NO. 2 & 17: Three to four people (at least one adult) are need at the intersections of Walnut St. and Cedar St.  Their duties will include the following:

 

  • Help to direct traffic before, during and after the race.
  • Help to direct runners on the way out on the course.
  • Keep runners moving in the correct direction for the second loop of the course.
  • Remind the slower runners still completing the first loop of the race course to keep to the right or curb so that the faster runners completing the second/final loop of the race can pass them in a safe manner.
  • The adult needs to send the lead runners on their second loop back down Cedar St. to the finish located in the PVI parking lot.   

POSTION NO. 3: Two people (at least one adult) are need at the intersections of Walnut St. and Lee Highway.  Their duties will include the following:

 

  • The adult needs to direct traffic before, during and after the race.  Once the orange cones are in place make sure no cars enter the right lane (which is the race course) of Lee Highway during the race.
  • Help to direct runners on the first and second loops of the course.
  • Remind the slower runners still completing the first loop of the race course to keep to the right or curb so that the faster runners completing the second/final loop of the race can pass them in a safe manner.

POSTION NO. 4: Two people (at least one adult) are need at the intersections of Oak St. and Lee Highway.  Their duties will include the following:

 

  • The adult needs to direct traffic before, during and after the race.  Once the orange cones are in place make sure no cars enter the right lane (which is the race course) of Lee Highway during the race.
  • Help to direct runners on the first and second loops of the course.
  • Remind the slower runners still completing the first loop of the race course to keep to the right or curb so that the faster runners completing the second/final loop of the race can pass them in a safe manner.

POSTION NO. 5: One to two people at the exit of McDonalds.  Their duties will include the following:

 

  • Direct traffic before, during and after the race.  Once the orange cones are in place make sure no cars enter the right lane (which is the race course) of Lee Highway during the race.
  • Help to direct runners on the first and second loops of the course.
  • Remind the slower runners still completing the first loop of the race course to keep to the right or curb so that the faster runners completing the second/final loop of the race can pass them in a safe manner.

POSTION NO. 6: One to two people at the entrance/exit of PVI front parking lot.  Their duties will include the following:

 

  • Direct traffic before, during and after the race.  Once the orange cones are in place make sure no cars enter the right lane (which is the race course) of Lee Highway during the race.
  • Help to direct runners on the first and second loops of the course.
  • Remind the slower runners still completing the first loop of the race course to keep to the right or curb so that the faster runners completing the second/final loop of the race can pass them in a safe manner.

POSTION NO. 7: Two people (at least one adult) are need at the intersections of McClean Ave. and Lee Highway.  Their duties will include the following:

 

  • The adult needs to direct traffic before, during and after the race.  Once the orange cones are in place make sure no cars enter the right lane (which is the race course) of Lee Highway during the race.
  • Help to direct runners on the first and second loops of the course.
  • Remind the slower runners still completing the first loop of the race course to keep to the right or curb so that the faster runners completing the second/final loop of the race can pass them in a safe manner.

POSTION NO. 8: Two people are need at the intersections of McClean Ave. and Cedar St.  Their duties will include the following:

 

  • Help to direct traffic before, during and after the race.
  • Help to direct runners on the first and second loops of the course.
  • Remind the slower runners still completing the first loop of the race course to keep to the right or curb so that the faster runners completing the second/final loop of the race can pass them in a safe manner.

POSTION NO. 9: One person needed at the intersection of Keith Ave. and Oliver St.  Their duties will include the following:

 

  • Help to direct traffic before, during and after the race.
  • Help to direct runners on the first and second loops of the course.
  • Remind the slower runners still completing the first loop of the race course to keep to the right or curb so that the faster runners completing the second/final loop of the race can pass them in a safe manner.

POSTION NO. 10: One person needed at the intersection of Keith Ave. and Moore St.  Their duties will include the following:

 

  • Help to direct traffic before, during and after the race.
  • Help to direct runners on the first and second loops of the course.
  • Remind the slower runners still completing the first loop of the race course to keep to the right or curb so that the faster runners completing the second/final loop of the race can pass them in a safe manner.

POSTION NO. 11: Two people (at least one adult) are need at the intersections of Keith Ave. and Main St.  Their duties will include the following:

 

  • The adult needs to direct traffic before, during and after the race.  Once the orange cones are in place make sure no cars enter the right lane (which is the race course) of Main St. during the race.
  • Help to direct runners on the first and second loops of the course.
  • Remind the slower runners still completing the first loop of the race course to keep to the right or curb so that the faster runners completing the second/final loop of the race can pass them in a safe manner.

POSTION NO. 12: Two people (at least one adult) are need at the intersections of Oak St. and Main St.  Their duties will include the following:

 

  • The adult needs to direct traffic before, during and after the race.  Once the orange cones are in place make sure no cars enter the right lane (which is the race course) of Main St. during the race.
  • Help to direct runners on the first and second loops of the course.
  • Remind the slower runners still completing the first loop of the race course to keep to the right or curb so that the faster runners completing the second/final loop of the race can pass them in a safe manner.

POSTION NO. 14: Two people (at least one adult) are need at the intersections of Walnut St. and Main St.  Their duties will include the following:

 

  • The adult needs to direct traffic before, during and after the race.  Once the orange cones are in place make sure no cars enter the right lane (which is the race course) of Main St. during the race.
  • Help to direct runners on the first and second loops of the course.
  • Remind the slower runners still completing the first loop of the race course to keep to the right or curb so that the faster runners completing the second/final loop of the race can pass them in a safe manner.

POSTION NO. 15: One person needed at the intersection of 1st St. and Walnut St.  Their duties will include the following:

 

  • Help to direct traffic before, during and after the race.
  • Help to direct runners on the first and second loops of the course.
  • Remind the slower runners still completing the first loop of the race course to keep to the right or curb so that the faster runners completing the second/final loop of the race can pass them in a safe manner.

POSTION NO. 16: One person needed at the intersection of 2nd St. and Walnut St.  Their duties will include the following:

 

  • Help to direct traffic before, during and after the race.
  • Help to direct runners on the first and second loops of the course.
  • Remind the slower runners still completing the first loop of the race course to keep to the right or curb so that the faster runners completing the second/final loop of the race can pass them in a safe manner.
